Clearooms vs Matrix Booking

Two UK vendors with the same pricing structure: per desk and room, not per user. Where they differ is what the price includes and how easy it is to find. We make Clearooms, so we've linked a source for every fact about Matrix Booking and dated when we checked it.

Matrix Booking facts checked 16 October 2026 against matrixbooking.com and its G-Cloud 15 listing and pricing documents (dated 29 January 2026). G-Cloud rates are public sector list prices; commercial quotes may differ. Last updated 27 October 2026 and reviewed by Hayley Russell, Marketing Manager at Clearooms. The short version

Clearooms is built for organisations of any size, from a single office to multi-site estates of 500+ desks.

Choose Clearooms if you want the per-resource model with the integrations in the price. SSO, SCIM, Microsoft Teams, Outlook and Google Calendar sync and the API are included on every plan. The full price list is published from £60/month, billing is monthly rolling with no minimum term, and the 30-day self-serve trial lets you test all of it. Capterra reviewers rate it 4.7 from 232 reviews.

Consider Matrix Booking if you're a public sector estate buying through G-Cloud, particularly one that wants to share space across government organisations, where its Government Hubs capability is unique. It supports 150+ public sector organisations, is a B Corp, and sells its own occupancy sensors and signage hardware. Budget for the add-ons: for example on its published rates, SSO costs more per month than a small office would pay for Clearooms.

The add-on arithmetic, using Matrix's own published rates

Both platforms price per resource. Take 19 desks for an organisation that uses single sign-on and Microsoft Teams. On Matrix Booking's G-Cloud 15 rates, 19 desks at £6/month each is £114/month. Add SSO (£225/month) and the Teams integration (£125/month) and the total is £464/month, or about £5,568 a year, billed annually in advance. The Outlook add-in (£325/month) adds more on top.

On Clearooms, the same 19 desks cost £66/month on rolling monthly billing, or £60/month billed annually, with SSO, SCIM, Teams, Outlook calendar sync and the API already included. Billed annually, like Matrix, that's £720 a year (£792 if you pay monthly). Matrix Booking's SSO add-on, for example, costs more than three times what a small office would pay for its whole Clearooms subscription, including SSO.

Where each platform is stronger

Clearooms is stronger on

  • Integrations in the price: SSO, SCIM, Teams, Outlook, Google and the API are never chargeable add-ons
  • Price transparency: the full commercial price list is published, no quote form needed
  • Commercial flexibility: monthly rolling billing, no minimum term, no annual payment in advance
  • A full trial: 30 days, self-serve, with SSO and Teams testable
  • Support: the same support on every plan, with a dedicated Customer Success Manager, plus phone, email and live chat with our UK team during office hours
  • Google Workspace: calendar sync and SSO for Google shops, in addition to Microsoft
  • Earning from spare space: the OpenSpaces add-on lets outside companies book and pay for your spare desks and rooms
  • Review evidence: 4.7 from 232 Capterra reviews, no public reviews found for Matrix
  • Displays on tablets you own: the Display App is included, with no leased-hardware minimum term
  • AI booking: Smart Booking recommendations on every plan

Matrix Booking is stronger on

  • Public sector procurement: G-Cloud 15 listings, YPO framework, 150+ public sector organisations
  • Government Hubs: unique cross-organisational sharing of rooms, desks and event space across government bodies
  • Sensors: its own occupancy and environmental sensors, sold and leased with analytics licences
  • Estate analytics: premium and bespoke BI dashboards blending booking, check-in and sensor data

Worth knowing: Matrix isn't listed on review platforms, so there's no independent evidence either way; ask for reference calls. Its core support hours are Monday to Friday 8am–6pm, with a 24/7 phone line for urgent (Priority 1) issues. Some Clearooms reviewers would like more integrations beyond calendars, Slack, Zapier and door access, and we don't hold ISO 27001 or SOC 2 certification ourselves.

Frequently asked questions

  • Is Clearooms cheaper than Matrix Booking?

For a typical office, yes, because of add-ons rather than the desk rates. On Matrix's G-Cloud 15 rates, 19 desks cost £114 per month, but adding SSO (£225/month) and the Teams integration (£125/month) takes it to £464 per month, about £5,568 a year billed annually in advance. Clearooms includes SSO, SCIM and Teams in its published price: £60 per month for up to 19 desks billed annually, which is £720 a year, or £66 per month (£792 a year) on rolling monthly billing.

  • Do Clearooms and Matrix Booking both price per desk rather than per user?

Yes. Both are UK vendors that price per resource with unlimited users, which suits hybrid workplaces. Clearooms publishes its full price list in six currencies with SSO, SCIM, Teams and the API included. Matrix Booking's website offers a quote form, and its published G-Cloud rates charge separately for SSO, Entra ID sync, Teams, Outlook, Microsoft 365 and the API.

  • What does Matrix Booking charge for SSO, Teams and Outlook?

From Matrix Booking's G-Cloud 15 pricing documents (29 January 2026): SSO £2,700 a year per directory, Entra ID sync £2,700 a year, Microsoft Teams £1,500 a year, Microsoft 365 £3,300 a year, the Outlook add-in £3,900 a year and API access £600 to £3,000 a year. Clearooms includes SSO, SCIM, Teams, Outlook calendar sync and the API on every plan at no extra cost.

  • Can I try Clearooms or Matrix Booking before buying?

Clearooms offers a self-serve 30-day free trial with every feature included and no card needed. Matrix Booking offers a 14-day trial via a form, but its own G-Cloud listing says the trial excludes the Microsoft 365, Outlook, Entra ID, SSO and Google integrations, sensors, signage, multi-tenant visitor management and hub networks.

  • Can organisations outside the UK use Clearooms?

Yes. Clearooms is used by organisations worldwide. Prices are published on our website in six currencies (GBP, USD, EUR, CAD, AUD and NZD), the app is available in multiple languages including English, French, German, Spanish, Italian, Dutch and Welsh.
