Meeting room booking that syncs with Google Calendar
Book a room in Google Calendar or in Clearooms and everyone sees the same availability, with no double bookings. On top, you get what Calendar can't do on its own: rooms on an interactive floor plan, booking rules, room displays and proper usage reporting.

Google Calendar room bookings, in sync both ways
A room booked in Google Calendar shows as taken in Clearooms, and a room booked in Clearooms appears in the room's Google calendar. The sync reacts to each change rather than checking on a timer, so people can book wherever suits them and double bookings stop.

See your Google rooms on a floor plan
The meeting rooms you already have in Google Workspace appear on a Clearooms floor plan, so people can see where each room is, how many it seats, what's in it and when it's free, before they book.

Who the Google Calendar integration helps
-
Staff
Keep booking rooms in Google Calendar, with a floor plan when they need one.
-
Office managers
No more double-booked rooms, and real data on which rooms get used.
-
IT
Works with the room resources you already have in Google Workspace.
-
Included on every plan
The integration costs nothing extra. Meeting room booking needs to be part of your subscription.
Your room rules, applied to Google Calendar bookings
Set rules for how rooms are used, such as a maximum meeting length or how far ahead people can book. External calendar rules apply them to rooms booked in Google Calendar too. You choose what happens when a booking breaks a rule: decline it straight away, decline it after a set time, or accept it and warn the person who booked.

Desk bookings in Google Calendar too
Staff can see their Clearooms desk bookings alongside their meetings. Each booking confirmation email includes a calendar invite, or people can subscribe once to their personal Clearooms feed and future desk bookings appear on their own. Google refreshes subscribed calendars roughly every eight hours.

Set up Google Calendar room sync in three steps
- Connect Clearooms to your Google Workspace.
- Import your existing Google meeting rooms.
- Place them on your floor plan. Bookings sync from then on.

Your questions, answered.
-
Can I use Google Calendar as a meeting room booking system?
Partly. Google Calendar lets people add a room resource to an event, but it doesn’t give you a floor plan, room rules such as a maximum meeting length, or detailed usage reporting. Clearooms adds those and keeps the same room calendars in sync, so people can still book in Google Calendar.
-
Can staff keep booking rooms in Google Calendar?
Yes. They can book in Google Calendar, the Clearooms web app or the mobile app, and every booking shows up everywhere.
-
Do desk bookings sync both ways with Google Calendar?
No. Room bookings sync both ways. Desk bookings go one way, into Google Calendar, through the invite on each confirmation email or a calendar feed people subscribe to once.
-
Does the integration cost extra?
No. It's included on every plan. Meeting room booking needs to be part of your subscription.
-
We haven't set up rooms in Google yet. Is that a problem?
No. Rooms are created as resources in Google Admin first, then imported into Clearooms. Our knowledge base explains how.
-
What happens when a Google Calendar booking breaks a room rule?
You decide. Clearooms can decline it, decline it after a set time or accept it and warn the booker. If it's declined, the room is freed but the meeting stays in the organiser's calendar without a room.
-
Can we add room displays?
Yes. The Clearooms room display app runs on a tablet outside each room and shows live availability from the same calendar.
