Background
TUS is a public university in Ireland, established in 2021 through the merger of Athlone Institute of Technology and Limerick Institute of Technology. With over 14,000 students across seven campuses in the Midlands and Midwest regions, TUS offers a diverse range of programmes in fields such as engineering, business, arts, and health sciences.
The university emphasises applied learning, research, and strong industry partnerships to prepare students for successful careers.
The Challenge
TUS needed a reliable booking platform that could integrate specifically with existing Salto access controls. Based on an initial implementation of Clearooms for five spaces at the Midlands campus, the challenge was then to scale up more widely across the organisation.
With thousands of staff and students requiring secure access to rooms and desks, a scalable, reliable and well-supported solution was critical.
The Solution
Clearooms has delivered seamless integration, enabling easy, automatic enrolment of staff and students via single sign-on. Beyond the initial rollout, the system has steadily expanded to cover rooms, pods, and hot desks across the TUS estate.
The ability to write custom rules was also crucial in preventing erroneous reservations, saving hours in wasted bookings and the manual time required to check.

The Results
Adoption has been rapid, with thousands of students and hundreds of staff now active users. The Estates Office now defaults to installing Clearooms pods in any new space due to the system’s reliability and ease of use.
Reporting tools provide valuable utilisation insights, while automated policies prevent booking errors and reduce support queries. The ability to customise maps and create dedicated user groups has further reduced incorrect bookings between geographically separated sites.

Future plans
With rollout to the Midwest campus underway and new STEM building facilities in progress, TUS expects continued growth in usage. The university is also exploring desk efficiency reporting, booking ‘favourites’, and notifications — features that will further enhance flexibility and user experience.
