Background

Logistics UK represents and supports organisations across the logistics sector. Like many modern organisations, its workplace requirements have changed significantly since the pandemic, with hybrid working now firmly embedded in everyday operations.

As the organisation moved into a new office in central Tunbridge Wells, it needed a practical way to manage shared desks, meeting rooms and limited car parking spaces for a workforce that does not attend the office in the same way every day.

Evaluating the options

The Challenge

When evaluating workplace booking systems, Logistics UK required a solution that was cost-effective, easy to deploy and capable of scaling as requirements changed.

Several established providers were considered, but pricing models based on per-user licensing proved difficult to justify for a growing organisation with relatively modest initial requirements. The organisation also required:

The Solution

Clearooms was selected because of its straightforward pricing model, ease of implementation and intuitive user experience.

Initially deployed for desk booking, the platform has expanded alongside the organisation’s needs and is now used to manage desks, meeting rooms and a 34-space staff car park serving a workforce of around 100 employees.

Administrative controls allow Logistics UK to manage booking rules, regulate access to new spaces and ensure fair allocation of high-demand resources such as parking. Importantly, the platform also supports external users, enabling partner organisations sharing office facilities to access the system with their own booking rules and permissions.

Minimal disruption

Implementation

Deployment was completed with minimal disruption. Staff received a simple communication containing links to the Clearooms application and were able to begin using the system immediately.

As the organisation relocated to its new Tunbridge Wells office, administrators were able to configure new spaces in advance while preventing bookings until the office was ready for use. Clearooms also integrates with the organisation’s single sign-on environment, supporting internal security requirements and simplifying access for users.

The organisation continues to explore additional functionality, including meeting room and reception tablets for visitor management and room scheduling.
