Enabling flexible working across a growing law firm

As UK law firm Howes Percival expanded its office network and embraced hybrid working, the need for a simple and scalable workspace management platform became evident. By implementing Clearooms, the firm introduced an intuitive system for booking desks and meeting rooms, giving employees flexibility while allowing the IT team to manage offices efficiently as the business grows.

The one thing that really stood out about Clearooms is how simple it is. It just works…

Background

Howes Percival is a leading UK law firm providing legal services to businesses, public sector organisations and private clients across multiple offices in the UK.

Over the past few years the firm has experienced rapid expansion, growing significantly while modernising its workplace strategy. As teams adopted more flexible working patterns, ensuring that desks, meeting rooms and collaborative spaces could be easily managed became an operational priority.

The Challenge

As the firm expanded and office usage became more flexible, coordinating workspace availability became increasingly difficult.

The team needed a platform that could:

  • Support hybrid working and hotdesking across multiple offices
  • Integrate with the firm’s Microsoft and Outlook environment
  • Be simple to deploy and manage internally
  • Scale easily as new offices open or layouts change
  • Ensure ease of use to increase uptake

Just as importantly, the IT team wanted a solution that would not require constant vendor support for simple configuration changes.

Simple and self-service

The Solution

After reviewing various workspace management tools, Clearooms was highlighted because of its simplicity, flexibility and transparent pricing model.

Unlike platforms that charge per user, Clearooms charges based on desks and meeting rooms, making it a better fit for hybrid working environments where employee attendance fluctuates.

The platform also stood out for its self-service administration, allowing the IT team to add new locations, desks or rooms in minutes.

Implementation

Clearooms was first implemented during the development of the firm’s Cambridge office, where the team uploaded floor plans and configured bookable desks and a small number of meeting rooms.

Integration with Microsoft Entra (Azure) enabled single sign-on and automatic user synchronisation, while Outlook integration ensured meeting rooms could be booked directly through staff calendars — which has been critical to the success of the integration.

Because the platform was so intuitive, employees were able to start using it immediately without training. Following the success of the initial rollout, Clearooms has since been implemented across additional offices, with further locations planned as the firm continues to expand.

Future plans

With further office developments planned, including a new location in Milton Keynes, the firm expects to continue expanding its use of Clearooms. Upcoming features such as car park space booking will help manage limited parking availability at certain sites, adding another layer of workplace coordination.

The team also continue to explore new features as they are released, ensuring its workplace management evolves to reflect its growth.

The difference it made
