Hot Desk Booking with Clearooms
As new ways of working look to come into place and we return to the office, the popularity of flexible working, and therefore the need for hot-desking, is on the rise.
To support this, we’ve developed Clearooms to not only manage meeting room bookings but to now also manage hot desk bookings too.
It has been designed to be really simple to set up, straightforward to use and with just the fundamental features needed to facilitate hot desk booking.
- Add a message to each floor plan, such as to remind users of your policy
- Upload your own floor plan for a quick and easy setup
- Add buffer times for cleaning and preparation between desk bookings
- Restrict the number of bookings per office to safely manage capacities
- Set rules for repeat desk bookings for more frequent office workers
- Limit the number of desks each user can book per day
- View all desk bookings in a calendar format under My Bookings
- Use SSO to manage user access and allow users to log in without a password


Create Bespoke Reports
Build custom reports for access to information such as who’s booked a desk and where, giving a clear overview of all desk activity. All created reports are saved within the Reports Dashboard, including for meeting rooms, where they can be easily run again for up-to-date information. Reports can also be scheduled to be automatically received on a set date by email. This easy access to data helps to support the management of flexible working, social distancing and a safe return to the office.


Choose the Right Desk First Time
The Clearooms Desk Resources feature allows Admin users to create assets which can be allocated to all or individual desks.
Add resources such as certain monitor types, standing desks or chairs with back supports to allow users to book the right desk for them.
When a resource has been added in the Portal, users can search and filter by each resource, so only available desks with the assets they require show, for fast and easy hot desk booking.
Set your Scale for Social Distancing
Upload your floor plan image, add your scale, set your social distancing rules. Our Plan Scaling feature helps towards ensuring a safe distance between colleagues by making desks within a set radius of a booked desk, unavailable. The scale is set by clicking two points on your floor plan and entering the actual distance between them. Clearooms will then calculate a safe zone around each booked desks, to avoid any being booked within that area.

Check-in and Trace Report
With the Check-in feature enabled your users are prompted to confirm their attendance when logging into Clearooms and validate if they attended when desks are booked.
Accompanying the Check-in feature, the Trace Report helps you check any user in a period and view all desk bookings for that user across your account, the report also shows who was in the office at the same time/day and even the distance from the person
* Add plan scaling on your office plan and switch on Social distancing in settings to capture distances.
